This Is What Your Role Looks Like
Do you like keeping things organized and making sure nothing gets overlooked? As Business Development Assistant, you take care of the day-to-day logistical follow-up of projects and partnerships within our Business Development team. You handle orders, monitor deliveries and stock availability, and stay in touch with suppliers and logistics providers to make sure all practical arrangements are in place. Alongside this, you provide administrative support to the team, so that documentation and information are always up to date.
You work closely with the Business Development Manager, the Account Coordinator, internal teams and external partners to keep daily operations running smoothly.
Your Responsibilities
- Handle and follow up on orders, shipments and deliveries, and monitor stock availability.
- Maintain regular contact with suppliers and logistics providers about orders, shipments and delivery schedules, and help identify and resolve delays or logistical issues.
- Act as a point of contact for practical and administrative questions from suppliers and partners, making sure information reaches the right stakeholders.
- Manage and maintain contracts, agreements, documentation and operational records, and keep systems and databases accurate and up to date.
- Prepare reports, overviews and administrative documents, and support the preparation of meetings and the follow-up of action points.
- Identify opportunities to improve logistical and administrative processes and help maintain clear, structured procedures.
Who Are You?
You are an organized, proactive and hands-on person who enjoys managing logistics and making sure everything runs smoothly. You have a practical mindset, pay attention to detail and know how to manage different tasks and priorities. You enjoy working with suppliers, logistics providers and different internal teams, and you take initiative to ensure that orders, deliveries and administrative tasks are properly followed up.
Additionally, we’re looking for someone with:
- Experience in logistics, supply chain, administrative support or a similar role.
- Good organizational skills and the ability to manage multiple tasks and priorities.
- Strong administrative skills and attention to detail.
- A proactive, hands-on and solution-oriented attitude.
- Good communication skills in English. German, Spanish or French is a plus.
- Proficiency in MS Office; experience with ERP, CRM or other operational systems is a plus.
- The ability to work independently while collaborating effectively with different teams and stakeholders.
